Due to anti-spaming policies, the word insur*ance had to be crippled.

23:00 <agd5f> hello
23:00 <+alanc> good afternoon
23:00 <+Bart_Massey> howdy
23:00 <+alanc> sorry about the very late reminder
23:01 <michaellarabel> hello
23:01 * alanc is failing to be a very effective secretary the last couple months
23:01 <+anholt> hey
23:02 <+Bart_Massey> pfft
23:02 <stukreit__> hi
23:02 <+Bart_Massey> we all have calendars
23:02 <+mherrb> hi
23:02 <+alanc> and the irc transcripts make me feel slightly less guilty about the lack of summaries, but only slightly
23:03 <+keithp> shocker
23:03 <+alanc> looks like everyone but emmes has said hi
23:03 * keithp was rebooting
23:03 <+alanc> we got two e-mail requests this morning for travel sponsorship
23:04 <+keithp> yeah, oddly both from australia :-)
23:04 <+alanc> both approximately $2800 US since they're coming from the same airport
23:04 <stukreit__> I separately searched prices and yes, it really costs $1700US to go Brisbane->Chicago
23:04 <+keithp> one suspects they may have colluded on shopping
23:04 <+emmes> hey
23:04 <+emmes> sorry for being late
23:05 <+alanc> no problem, you hadn't really missed anything yet
23:05 <+emmes> yes, I can see that ;-)
23:05 <+alanc> they both are regular contributors I think we'd like to see at the conference
23:06 <+keithp> agreed. +1 for both from me
23:06 <+Bart_Massey> +1
23:06 <+anholt> +1
23:06 <agd5f> +1 from me
23:06 <stukreit__> +1
23:06 <+alanc> +1
23:06 <+keithp> we should encourage them to continue to seek for funding from their employer
23:06 <+keithp> which means figuring out a time to abandon that and use X.org funds?
23:07 <+alanc> yes, we can guarantee that they'll get reimbursed by someone in the end, but can still hope their employer picks it up first
23:07 <+mherrb> +1 with encouraging them to get funding from their employers
23:07 <+emmes> +1
23:08 <stukreit__> +1 is it ok for us to know who this employer is?
23:08 <+keithp> stukreit__: both of them work for RedHat
23:08 <+alanc> oh, I thought you knew that, especially since the second came from an @redhat.com address
23:09 <+alanc> so I see a total of +8, calling it approved unanimously
23:09 * alanc waves at whot
23:10 <whot> thanks guys!
23:10 <+alanc> so, on to other XDC business - stukreit, did you make progress with the catering?
23:10 <stukreit__> yes, I talked to a real person today.
23:11 <stukreit__> Turns out, the phone numbers I was using have a different area code, yet the numbers were the same
23:11 <stukreit__> so, "jennifer" acks that the spreadsheet has errors and she's working on it.
23:11 <stukreit__> er
23:12 <stukreit__> we're about $1000 apart, so I'd really like a correct answer
23:12 <+keithp> that does seem like a bit far
23:12 <+emmes> ouch
23:13 <stukreit__> a funny snippet in the rules regarding alcohol: you can bring it, but you must arrange to have one of their "Professional Bartenders" at $24.50/hr.
23:13 <+alanc> or we can just walk to an actual bar
23:13 <+anholt> can't even bring your own professional bartender?
23:13 <+emmes> sounds more reasonable to me (walking to a bar)
23:13 <+Bart_Massey> Yeah, it's a pretty standard way for them to try to shift liability for serving drunk or underage attendees.
23:13 <stukreit__> In case anyone's wondering, I'm not big on ethanol myself, just that the question comes up, and people seem to enjoy it.
23:15 <stukreit__> its a non-issue. For now,I'm hoping to see them do their homework, then I can send a check and get this all settled
23:15 <michaellarabel> Phoronix Media would sponsor the 'professional bartender' if it was Bavarian female wearning dirndl / an actual beer professional.... ;) but I think that rule isn't important. If I recall correctly when I went to an IIT event before, I brought my own beer since the beer they had there I didn't like. But yeah either way no big issue since lots of Chicago bars.
23:16 <+keithp> michaellarabel: you'll get plenty of that later in the year
23:16 <stukreit__> I think for now we should start the effort to get the list of presentations and attendees built up
23:17 <+alanc> anything else we need to work on now? the room reservation all in place and deposit sent in?
23:17 <+keithp> sounds like we've got a conference scheduled, just need to get people to come
23:17 <stukreit__> money is not sent yet, but we're engaged, so no worries.
23:18 <+alanc> well, we should be able to guilt talks out of at least a couple of the people we've agreed to buy plane tickets for, but that only fills half of a day
23:19 <+alanc> oh, and I guess we need to poke Bart_Massey about the book sprint planning
23:19 <+Bart_Massey> Ya think?
23:20 <+alanc> I've been trying to avoid that, too much work to think in this heat
23:20 <+Bart_Massey> Good plan. Yeah, I've got the list of first-round invites done, but haven't sent the invitations yet, which is bad.
23:21 <stukreit__> (alanc's in a nice, sealed, a/c building all day)
23:21 <+Bart_Massey> I also need to figure out what we'll do about software / formatting / etc.
23:21 <+Bart_Massey> RSN, honest
23:22 <+alanc> michaellarabel: anything else for conference organizing you're waiting for from us?
23:24 <michaellarabel> In terms of other things for the event, anl.gov is willing to give a tour as mentioned in one of my emails, and should be no cost, if anyone is interested in that for an evening social event?? Would just be a matter of settling for a date (so opposite of any formal dinner or something). Trying to remember exactly where those labs are positioned as it might be like an hour train or bus ride, so might not be of interest to many un
23:24 <+alanc> got caught off at "of interest to many un"
23:25 <marcheu> michaellarabel: did you tell anl.giv that a lot of them aren't natives US citizens? there's a complicated process to get in there
23:25 <michaellarabel> to many unless anl.gov has like a bus.... Then in terms of restaurant if planning a dinner on one of the evenings, there was that Moe's Cantina restaurant I mentioned on the mailing list a couple weeks ago looking for feedback (price should be fine, but just in terms of if there is interest / fits the necessary dietary constraints, etc). Besides that, don't recall offhand if there was anything else major open issues still.
23:25 <marcheu> gov*
23:25 <michaellarabel> marcheu: They mentioned that a form had to be filled out in advance by foreign nationals.. hadn't looked at the form to know if it's very lengthy or not.
23:25 <+emmes> michaellarabel: forgot to mail you: I'd assume there would be interested people, at least I definitely would be
23:26 <michaellarabel> ' Non-U.S. citizens will need to complete and return an access form for processing, which takes at least 10 business days.' ... I'll ask them what the form looks like.
23:27 <marcheu> yeah it's pretty long
23:27 <+alanc> there is an events mailing list that should have the usual attendees on you could ask - people seemed to like the university/research centre tour mherrb set up last year in Toulouse
23:28 <+mherrb> apropos form, people needing a visa to get to the us should ask for an invitation letter. I can provide the model I stoled from OpenBSD conferences...
23:28 <+emmes> definitely!
23:29 <michaellarabel> Okay.
23:30 <+Bart_Massey> gtg, all. Talk to you soon! -oo
23:32 <michaellarabel> should I send any reminders to any of the other lists about the event?
23:32 <+alanc> you can if you want, probably should send one by the end of July or so
23:32 <michaellarabel> Okay, I'll just wait a week or so then.
23:33 <+alanc> anything else for today's meeting?
23:34 <michaellarabel> I doubt have anything else to add today... I believe the main thing is just having the catering get sorted out and so then Stuart is comfortable sending in the pre payment, insur*ance, etc to the venue.
23:38 <+alanc> so we're ready to adjourn?
23:39 <+mherrb> I guess yes
23:39 <+emmes> seems so
23:39 <stukreit__> adjourn: +1
23:40 <agd5f> +1
23:40 <+emmes> +1
23:40 <+mherrb> +1
23:40 <+alanc> okay, thanks everyone for coming, see you all on July 21
